Upcoming changes to the Education Fundamentals licensing model and new license types

this is a big announcement to our institution (higher ed) not for the better i think... i wonder if the gmail only license will delete all other services data after 30 days, or just make it inaccessible to the user... also wonder if someone can have an edu fund+gmail only license applied

I've re-read that a few times and haven't been able to find out what the "we’re also updating the minimum purchase requirements for Education Standard and Education Plus" minimum actually will be.. I'm getting nervous.

The updated license requirements for the Workspace for Education editions can be found here:

The minimum purchase requirement is based on your organization’s total student enrollment (including full and part time students). For example, if your school has 1,000 total student enrollment, you must buy at least 1,000 licenses. You can buy additional licenses for other users who might need accounts, such as staff and alumni. You get one staff license at no charge for every four student licenses.

Yes, all very worrying... I believe you will be allotted your entire amount of accounts to be licensed with buffer (a % I imagine of total accounts), but unsure from that. We have probably around ~10k accounts, many of which are alumni. So another question is now that we'll be allotted ~10k+buffer, what if we go over the buffer... 

Google should really do a webinar for this type of change, especially since there may be a cost for the free version at some point. Or, it could be like Microsoft with volume licensing, if we ran out of the 500 windows 10 licenses, just reach out and they'll provide another 500 to be included in the contract. Hoping the google edu fund would be like that, reach out and get more for free. 

This isn't looking good from initial out of nowhere email.

Some additional information about this can be found here, including:

• Existing customers will receive enough Education Fundamentals licenses to cover their current users, with buffer— During the transition, domains will receive the same number of Education Fundamentals licenses as the number of Education Fundamentals users they have today (inclusive of both active and suspended users) plus an additional buffer based on the number of existing accounts in their institution today.
• For existing users in a domain, we're assigning the Education Fundamentals licenses for you—To make this change easier to manage, when the new licensing model goes into effect, all existing users in a domain will automatically be assigned an Education Fundamentals license and their ability to interact with Google services will not change. This means immediate action will not be required during the transition period to ensure you have the number of licenses you need to maintain access for your existing users. New accounts added after the transition will need to have a license assigned by an admin.

I think Google Education need to have a presentation of what exactly is changing and what will be affected. 

As of now, if we turn off Google Photos, the data remains and users are not able to delete their photos. 

If we change the user to a Gmail only user, the question is will the data in Google Photos remain, but they cannot access it anymore? Is it the same with Drive data, Calendar data, etc. etc.

I think having a presentation where Google EDU admins can ask specific questions during the presentation would be beneficial for questions like this. 

As far as automating/provisioning new users with the licenses, that is probably the least troublesome of the topics that people have questions for at least from my perspective

You will get more than you need, and whenever you need more, you should be able to request and get more.

I feel like all too often Google sends out this type of information without all the information that we need and or want. In the end, they usually end up getting the right info out long enough ahead of the change to ease our fears. I just wish they would do it all at once.

I'm assuming that because of how many teams are involved even Google doesn't know all the information. Wouldn't surprise me if they just release information, look at what the lashback is, then try to figure out which team can give the appropriate answers.

My main concern is that they state that your request for additional licenses will be denied if you have licenses remaining. We are a community college with a variety of programs with start dates throughout the year. We currently assign our Google licenses automatically when a new student submits an application or a new employee is hired. If we have to wait until we run out of licenses and wait for up to two weeks for them to be granted, we'll have at least a couple of dozen users unable to work/start their classes while we wait on Google. Has anyone found a good way to provide Google with feedback on this planned change?
