Prerequisite of App Passwords is to enable 2SV/2FA on the account first. Which also is a good thing.

Remember there is NO need to document the App Password anywhere. So don't.

If you ever need to redo the account setup, create a new App Password, and then don't write that down anywhere. 🙂

Hi everyone,

So I just got an email about this OAuth thing (I probably got one before) and not being able to SMTP, etc. This means that most of our "service accounts" used for things like scanning to email, Papercut, and other programs that send out email notifications aren't going to work any longer. I am starting to contact our vendors to find out how to set up their program so we can use our existing setup, some that I know we use: Papercut, Follett, Skyward, Phone system, etc. If anyone knows how to set up any of these and would like to share the information, it would be appreciated.

https://workspaceupdates.googleblog.com/2023/09/winding-down-google-sync-and-less-secure-apps-support.html

Scanners & other devices

For scanners or other devices using SMTP or less secure apps to send emails, use one of the following options:

Configure the device to use OAuth.

Use an alternative way to scan or send an email from the device.

Configure an app password for use with the device.

Tip: If you replace your device, look for one that sends email using OAuth.

Papercut is a non issue as you can either use Oauth or the Relay service - both of which we use and we kicked out the use of less secure apps ages ago. Papercut has excellent online documentation - just follow their instructions. Other more problematic services we use app password - e.g. our Wazuh server which also work fine. So should not be much of a problem really.

In general, what you need to do is sign into each service account's Google account and add an app password:

Sign in with app passwords

Then you go into the email settings of each device/software package and change the SMTP password to the newly generated app password.

-Brad
